Windbrook Client Report Portal Agent
Maryann and Rebecca pull balances from Pinnacle (email request), Schwab (login-restricted), RightCapital, and Zillow. They hand-enter each balance into Canva and Word, then manually calculate retirement subtotals, net worth, and cashflow. They double-check each other to catch math errors. When a client has a different account structure, the bubble layout breaks and must be repositioned by hand. The whole process takes a full day per client.
The team enters current balances into a portal form pre-filled with last quarter's values. The portal auto-calculates every retirement subtotal, net-worth total, and cashflow figure. Two PDFs render in the portal's exact existing format: SACS (cashflow diagram) and TCC (net-worth overview). The layout stays stable regardless of account count. The team downloads the PDFs or exports to Canva for final touch-ups. The whole process takes under an hour per client.
Quarterly client meetings take a full day to prepare
Your team pulls balances from Pinnacle Bank (by email request), Charles Schwab (login-restricted), RightCapital, and Zillow, then hand-calculates retirement totals, net worth, and cashflow in Canva and Word.
Pulling numbers from six different sources and typing them into documents takes hours.
Every retirement subtotal, net-worth figure, and cashflow number is added by hand, creating error risk in client-facing deliverables.
Variable account counts per client break the SACS and TCC bubble structure, requiring manual repositioning each quarter.
One portal replaces Canva, Word, and Excel
Balance entry, calculation, and PDF generation happen in the portal instead of across three tools.
Deterministic calculations replace manual addition, removing the need for double-checking before client presentations.
The portal handles 6 to 12+ clients with the same three-person team because balance entry and PDF assembly are now automated instead of manual.
Enter current balances into a guided checklist that pre-fills last quarter's values. The portal auto-calculates every retirement subtotal, net-worth total, and cashflow figure. Download presentation-ready SACS and TCC PDFs in your exact existing format, or export to Canva for final touch-ups. The layout stays stable regardless of how many accounts each client has.
How the portal works
Set up each client once, then generate quarterly reports in minutes.
Enter client names, DOBs, SSN last-four, account structure (which retirement and non-retirement accounts each spouse owns), monthly salary, agreed expense budget, property address for the trust, and liability details. This data is reused every quarter.
Before each quarterly meeting, click Generate Report and see a form pre-filled with static data and blank fields for current balances. The form shows last quarter's values and offers a use-last-value option per field. Fill in current balances from Schwab, Pinnacle, RightCapital, and Zillow.
Excess (Inflow minus Outflow), per-spouse retirement subtotals, non-retirement total, grand total (retirement-1 plus retirement-2 plus non-retirement plus trust), and liabilities are all calculated deterministically. Stale values are flagged with an asterisk.
Generate two presentation-ready PDFs matching your existing format: SACS (cashflow diagram with Inflow, Outflow, and Private Reserve) and TCC (net-worth overview with retirement, non-retirement, family trust, and liabilities). Download as PDF or export to Canva for final visual touch-ups.

Is this for you?
- + Financial planning firms with 3-20 high-net-worth clients - The portal is designed for small teams (2-4 people) managing quarterly client meetings where presentation quality and accuracy matter. Scales from 6 to 12+ clients without adding staff.
- + Teams using SACS and TCC report formats - If your firm uses Simple Automated Cashflow System (SACS) and Total Client Chart (TCC) layouts, the portal generates PDFs in those exact formats. Other report structures require customization.
- + Firms where balances come from multiple sources - The portal consolidates data entry from Schwab, Pinnacle, RightCapital, Zillow, and other sources into one checklist. If all balances live in a single system with an API, a direct integration might be faster.
- + Teams that value error elimination in client deliverables - The portal removes manual calculation and double-checking, reducing the risk of math errors in front of high-net-worth clients.
- - Firms that need real-time account aggregation - The portal requires manual balance entry each quarter. If you need live, always-current balances, a direct Plaid or Schwab API integration is a better fit.
- - Teams using custom report formats - The portal generates SACS and TCC PDFs in a fixed layout. If your firm uses different report structures or heavily customized designs, this portal requires modification.
- - Practices with 50+ clients - At 50+ clients, the manual balance-entry workflow becomes a bottleneck. A full wealth-management CRM with integrated reporting and direct account feeds will save more time than a quarterly-report portal.
- - Firms that need client-facing portals - This portal is internal-facing only (for your team to generate reports). It does not provide clients with direct access to their own data or reports.
Pricing
The portal is built as a custom application for your team. Pricing includes the initial build, prototype walkthrough, and deployment to a private server. Usage is unlimited: generate as many quarterly reports as you need for your 6-12 clients without additional per-report fees.
- Initial build covers the core portal: client setup, quarterly balance-entry checklist, auto-calculation of all totals, and PDF generation in SACS and TCC formats.
- Optional Canva export feature (export generated reports directly to Canva for final touch-ups) may be added during or after the initial build depending on API feasibility.
- Future enhancements (real-time Schwab or Pinnacle balance pulls, Zillow Zestimate automation, Dropbox auto-save) are separate builds and priced separately.
How much time does the portal save per quarterly client meeting?
The portal cuts prep time from a full day to under an hour per client. Your team enters current balances into a guided checklist, the portal auto-calculates every retirement subtotal, net-worth total, and cashflow figure, and you download two presentation-ready PDFs. No more manual balance entry across six sources, no more hand-calculated totals, no more double-checking for math errors.
Does the portal eliminate math errors in client-facing reports?
Yes. The portal uses deterministic calculations to compute every total: Excess (Inflow minus Outflow), per-spouse retirement subtotals, non-retirement total, and grand total net worth. No manual addition means no transcription errors. Your team no longer needs to double-check each other before presenting to high-net-worth clients.
Will the portal work with our existing SACS and TCC report formats?
Yes. The portal generates PDFs in your exact existing SACS (cashflow diagram) and TCC (net-worth overview) formats. Andrew's design is preserved pixel-for-pixel. The layout stays stable regardless of how many accounts each client has, so you no longer need to reposition bubbles by hand when account counts vary.
How does the portal handle balances from multiple sources like Schwab, Pinnacle, and Zillow?
The portal consolidates all balance entry into one checklist form. Before each quarterly meeting, you enter current balances from Schwab, Pinnacle Bank, RightCapital, and Zillow in a single place. The form pre-fills with last quarter's values and offers a use-last-value option per field, so you only type new numbers. No more hunting across six different logins and email requests.
Can we scale to more clients without hiring additional staff?
Yes. The portal handles 6 to 12+ clients with the same three-person team because balance entry and PDF assembly are now automated instead of manual. Each quarterly report takes under an hour instead of a full day, so your team can manage more clients at the same headcount.
What happens if a balance is stale or missing from a source?
The portal flags stale balances with an asterisk and a footnote that reads: Indicates we do not have up to date information. This way, you and your clients know which numbers are current and which are from a prior quarter. The portal prevents you from generating a report with missing required fields until you either fill them in or explicitly mark them as using the last known value.
Can we export reports to Canva for final touch-ups before client meetings?
Yes. After the portal generates your SACS and TCC PDFs, you can download them as PDF or export directly to Canva for any last-minute visual adjustments before presenting. Both options are available from the same screen, so you have flexibility in your final workflow.
Is this portal internal-only, or can clients access their own reports?
The portal is internal-facing only. It is built for your team to generate and manage quarterly reports. Clients do not have direct access to the portal or their own data. You download the PDFs and share them with clients during quarterly meetings.
Ready to cut quarterly prep from a full day to under an hour.
The portal replaces Canva, Word, and Excel with one checklist that auto-calculates every total and generates presentation-ready SACS and TCC PDFs. Your team enters balances once per quarter and downloads polished client reports in minutes.
